Effective: 2 April 2025
At CHC Crew Tours, we understand that travel plans may change. However, as tours require advance planning, reservations, and third-party commitments, the following cancellation and refund policy applies.
1. General Conditions
- All refunds are subject to a $10 processing fee per person, unless otherwise stated.
- Refunds outside of this policy are granted at the sole discretion of CHC Crew Tours.
- Credit card processing fees are non-refundable under all circumstances, as these are not refunded by the payments processing platform.
2. Flight Disruptions
If your flight is cancelled prior to departure or diverted and does not arrive into Christchurch (CHC):
- A full refund will be provided, less the $10 processing fee per person.
- Any non-refundable third-party activities (e.g. Mt Cook Glacier Boat Tour) will not be refunded.
3. Change of Mind (Grace Period)
A 1-hour cancellation grace period applies from the time of booking:
- Full refund available (less $10 processing fee per person)
This grace period:
- Does not apply to bookings made after 6:00pm (local time).
- Must not reduce the tour below minimum passenger requirements, if it does, no refund will be issued unless remaining crew agree to cover the shortfall.
4. Cancellations & No-Shows
- No-shows are non-refundable.
- Bookings made after arrival into CHC are non-refundable (except within the grace period above).
- Cancellations are not permitted:
- On the day of the tour
- After arrival into Christchurch
5. Minimum Passenger Requirements
All tours require a minimum number of crew to operate.
- If crew cancellations reduce numbers below the minimum:
- Remaining crew may be required to cover the equivalent costs associated to your remaining group size. (Refer to tour descriptions for group size pricing)
6. Sickness/Injury Policy
- A 50% refund will be provided only if:
- Illness/Injury prevents you from operating/paxing on your scheduled return flight, and
- Supporting evidence is provided if requested.
(This policy applies due to many crew going out for partying and becoming hungover and using sickness as an excuse not to be able to attend the tour)
7. Booking & Group Changes
- If at time of booking your group falls below minimum numbers due to unpaid crew withdrawing:
- A refund may be issued, less:
- $10 processing fee per person, and
- Any unrecoverable third-party costs.
- Refund amounts may vary depending on:
- Timing of cancellation
- Supplier refund policies
8. Incorrect Bookings
- If you book without prior confirmation with us for availability and:
- The tour is fully booked, unavailable, or booking instructions were not followed:
- A refund will be issued less the $10 processing fee per person.
9. Weather & External Factors
- Some tours are weather-dependent (including but not limited to): Mt Cook Glacier Boat Tour, Akaroa Dolphin Tours, Arthur’s Pass Tours
- If cancelled by the activity provider: Refunds are subject to their refund policy.
- For all other tours If CHC Crew Tours cancels due to unforeseen circumstances such as but not limited to weather, natural events, government restrictions: A refund or alternative arrangement will be offered. (Less $10 processing fee)
- If the tour operates and you choose to cancel due to weather:
- Refund will be issued less $10 processing fee, and
- Remaining crew may be required to cover the equivalent costs associated to your remaining group size. (Refer to tour descriptions for group size pricing)
- If the remaining crew do not agree to cover these costs no refund will be provided as the tour is operating.
10. Operator Cancellations
As a sole operator, CHC Crew Tours may cancel tours due , but not limited to:
- Illness
- Family emergencies
- Other urgent circumstance
In such cases:
- A full refund will be provided, less:
- Credit card fees
- Any non-recoverable third-party costs
- Every effort will be made to provide a replacement driver before cancelling.
11. Booking Conditions
- Bookings are non-transferable for safety and operational reasons, therefore you can not give your seat to another crew member.
- The new crew member will be required to book with us directly or pay the driver directly at pick up.
- All crew may be required to present valid ID at check-in.
12. Late Returns & Liability
While every effort is made to ensure timely return:
- CHC Crew Tours accepts no liability for delays due to unforeseen circumstances.
- No compensation or refunds will be provided for:
- Missed duties
- Airline or employer consequences
Participation in tours is at your own risk.
13. Acceptance of Terms
By booking with CHC Crew Tours, you acknowledge and agree to the terms outlined in this policy.
