Cancellation / Refund Policy

We understand that plans can change, and sometimes you may need to cancel your tour. However, we also have to make arrangements and reservations in advance to ensure the best possible experience for you.


Therefore, we have the following cancellation policy in place: (subject to change without notice)


-If your flight is cancelled prior to your departure from your international port or does not arrive to CHC due to a diversion, and you have paid in advance, then a full refund will be provided however a $10 processing fee per person will be applied. (please note some excursions the activity provider does not provide refunds, such as, but not limited to, the glacier boat tour in Mt Cook. In that instance that portion of the tour will not be refunded by CHC Crew tours.)


-No-shows are non-refundable.


-Cancellations on the day of the tour or after your arrival in CHC are not permitted and are non-refundable.


-Cancellations for bookings made after your arrival to CHC are not permitted unless they fall within the below "change of mind' grace period.


-A one hour 'change of mind' grace period, after booking, will be provided.** Should you wish to cancel, within the one hour, after booking a full refund will be provided ($10 processing fee per person applies). If cancelling after the one hour 'change of mind' grace period your booking is non-refundable. Cancelling within the one hour 'change of mind' grace period must not result in less than minimum requirement of crew remaining on the tour. If this results in less than the minimum number of crew for your tour a refund will not be provided unless your remaining crew on the tour agree to pay the less than minimum pax fees Refer below.

** The change of mind policy is not applicable to any bookings made after 6pm local time as this is too close to the tour pick up time.


Minimum Passenger Requirement (Terms & Conditions)

All tours have a minimum number of crew required to operate.

(Refer to individual tour descriptions on the website to see prices per gorup size for your tour)


-Cancellations because you have fallen ill will only be accepted if your illness results in you being unable to operate your return flight out of CHC. In this instance a 50% refund will be provided (This policy applies due to many crew going out for partying and becoming hungover and using sickness as an excuse not to be able to attend the tour)


-For health and safety reasons your booking is non transferrable, therefore you can not give your seat to another crew member. That crew member will be required to book with us directly or pay the driver directly at pick up. You can then contact us regarding a refund which is subject to the conditions of sickness and operating your flight, and any other relevant conditions in this policy wording.

All crew may be required provide proof of ID upon check in for the tour.


-If you commence booking a tour (i.e paid and booked online) but you then have crew pull out (who haven't paid) and you fail to reach the minimum required number of pax for the tour then a refund will be provided. Some factors that may affect the amount of the refund provided are, but not limited to, how far in advance prior to the commencement of the tour you cancel, if the activity provider on the tour will or will not provide a refund for the activity. A $10 refund processing fee per person will be applied in all circumstances in addition to any other cost incurred to CHC Crew Tours.


-Please note that if a larger vehicle has had to be sourced due to an increase in passenger numbers, cancellations made prior to departure from your international port or post your arrival to CHC but prior to check in to the hotel, you will be charged at 90% of the tour cost, and you will be eligible for a 10% refund.


-If you book a tour without contacting us prior and the date is already fully booked, we are not available, or you failed to read the notification at the top of our website advising you to contact us prior to booking, a refund will be provided however a $10 refund processing fee per person will be applied.


-The $10 refund processing fee per person is applied to any refunds.


-Any refunds and their amounts outside of this policy are given at the sole discretion of CHC Crew Tours.


-Most of our tours operate in all weather conditions however some are subject to weather based on the activity providers operating conditions.

This includes, but is not limited to, the Mt Cook Glacier Boat Tour, Akaroa Dolphins Tour, & Arthurs Pass Tour. If your tour is cancelled by the activity operators and requires CHC Crew Tours to cancel its tour then a refund will be provided subject to if the activity operator provides refunds.


For all other tours.

Please note that in the event the tour is cancelled by us because of unexpected circumstances beyond our control, such as but not limited to, weather, natural disasters, or government travel restrictions, we may need to cancel or reschedule the tour. In such cases, we will make every effort to provide alternative options or a refund will be paid.

If the tour is still operating and you decide to cancel due to the weather we will provide a refund less the $10 processing fee, however if this results in a smaller group size, the remaining crew may be subject to additional charges.

For example if only 1, 2 or 3 crew remain they will need to cover the costs up to the amounts required for that group size.


As we are the sole owner and operator of these tours, there maybe times we need to cancel due to our personal circumstances changing such as personal sickness, family emergencies or other urgent personal matters.

If such cancellations have to be made a full refund less credit card fees & hotel fees will be provided.

Every effort will be made to provide an alternative driver prior to actioning a cancellation.


Credit Card Fees are unable to be refunded under any circumstances as this is not refunded by the payment processing platform HitPay


Late Returns

CHC Crew Tours makes every effort to ensure all tours are completed within the allotted time, taking into account potential layover contingencies. However, if unforeseen circumstances cause a delay, CHC Crew Tours does not accept any liability for consequences with your airline or employer.

And no compensation or refunds will be applicable.


You agree that you are participating in the tour at your own risk, and CHC Crew Tours will not be held responsible for any delays or consequences resulting from them.
